Are you an organised and proactive Office Coordinator who enjoys being at the heart of a busy organisation? Do you pride yourself on keeping everything running smoothly, whilst providing first-class administrative support to senior colleagues? Are you available immediately and looking for a varied temp-to-perm opportunity where you can really make the role your own? We have an exciting opportunity for an Office Coordinator to join a small and friendly charitable organisation based in Tyseley.
Working Monday to Friday, 9.00am – 5.00pm, this varied Office Coordinator role will see you taking responsibility for the smooth day-to-day running of the office, whilst providing comprehensive administrative support to the Managing Director and Head of Finance. Acting as a key first point of contact, you will manage incoming emails and enquiries, coordinate busy diaries, arrange meetings and ensure both senior leaders are fully supported with their day-to-day priorities.
As the Office Coordinator, you will play an important role in keeping meetings and wider activities organised, including attending and minuting monthly operations meetings and quarterly Board meetings. You will prepare relevant documentation, accurately record discussions and actions and proactively follow up with colleagues to ensure agreed actions are completed within the required timescales.
Alongside providing senior-level administrative support, you will oversee the general running of the office, liaising with external suppliers and contractors, monitoring office supplies and stock levels and ensuring the working environment remains organised and well maintained. You will also provide support and guidance to the wider administration team, helping to coordinate workloads and ensuring the office continues to operate efficiently.
To succeed in this Office Coordinator role, you will be a highly organised and confident administrator with previous experience of managing a varied workload and supporting senior colleagues. You will have excellent written and verbal communication skills, strong attention to detail and the ability to prioritise effectively in a busy environment. Previous experience of taking formal meeting minutes would be particularly beneficial, alongside a proactive approach and the confidence to follow up on actions with colleagues at all levels.
This is a fantastic opportunity for someone who enjoys variety and wants to become a central part of a small, close-knit organisation where their contribution will make a genuine difference. The position is initially offered on a temporary basis with the intention of becoming permanent, so you must be available to start immediately. Working hours are Monday to Friday, 9.00am – 5.00pm, with free on-site parking available.
